How to Create, Manage and Use a Scanner PIN

A scanner PIN lets you use the Scanner app without setting up an account. Each PIN is assigned to one device, so create a separate PIN for every phone or scanning point.

Before you create a PIN
  • The event must have a valid end date and time.
  • You must own the personal event, be an owner or admin of its organisation, or be an event manager assigned to it.
  • The scanner operator must install the Scanner app. Visitshowrave.com/apps/scannerto find the iPhone and Android downloads.
  • Decide which phone or entrance the PIN is for. Use a clear label such asMain entrance,VIP door, orNorth gate.
Create a scanner PIN on the website
  1. Sign in and open your organiser area.
  2. If the event belongs to an organisation, useSwitch workspaceto select the correct organisation.
  3. OpenMy Events, then chooseLive Events. For an event that has ended, chooseOld Events.
  4. Find the event and selectScanner accessfrom its actions.
  5. Enter anAssignment labelthat identifies the phone, entrance, or operator.
  6. Choose theAccess expiry. The PIN stops working at this time.
  7. SelectCreate PIN.
  8. When the PIN appears, selectCopy PINand give it securely to the scanner operator.

The PIN is active as soon as it is created. Copy it before leaving the page because the full PIN is not shown in the assignment list.

Create a scanner PIN in the App
  1. OpenAccountand switch toOrganiser.
  2. Open the event and its event actions.
  3. SelectScanner access.
  4. Enter anAssignment label.
  5. UnderPIN expiry, choose the recommended or maximum expiry shown for the event.
  6. SelectCreate scanner PIN.
  7. SelectCopy PIN, then give the PIN securely to the scanner operator.

The app confirms when the PIN has been copied. If you close the PIN panel too early,Show recent PINmay be available for a short time on the same device.

Sign in to the Scanner app with the PIN
  1. Open the Scanner app.
  2. On the sign-in screen, selectEvent PIN.
  3. Enter the suppliedPIN. Letters are entered as uppercase automatically.
  4. Enter aDevice namethat identifies the phone, such asNorth gate phone.
  5. SelectSign in.
  6. OpenScan Ticketsand synchronise the assigned event before scanning begins.

The first phone that signs in becomes the assigned device for that PIN. The same active PIN can be used again on that phone, but it cannot be moved to another phone. If a different phone needs access, the organiser must create another PIN.

PIN access is locked to the assigned event. The operator cannot switch to another event or workspace. They can use camera scanning, manual scan, offline scanning, upload review, scan history, settings, and issue reporting for that event.

Manage scanner assignments

Return to the event'sScanner accesspage to see every assignment. Each entry shows its label, status, expiry, assigned device, creator, and last-used time.

  • Ready:The PIN is active and has not yet been assigned to a phone.
  • In use:The PIN has been assigned to a phone.
  • Expired:The access expiry has passed.
  • Revoked:An authorised organiser or event manager ended the access.
  • Unavailable:The PIN can no longer be used.

Any organiser or event manager who currently has permission to manage the event can revoke its PIN assignments, even if another person created them.

Revoke a scanner PIN
  1. Open the event'sScanner accesspage.
  2. Find the assignment you want to end.
  3. SelectRevoke.
  4. Confirm that you want to revoke the PIN.

Revoke a PIN immediately if a phone is lost, an operator no longer needs access, or the PIN was shared with the wrong person. The scanner stops accepting new scans after it receives the access-ended response. Saved scans that could not upload remain on that phone for review instead of being silently removed.

Troubleshooting
  • The PIN is not accepted:Check all eight characters. The PIN may also be expired, revoked, unavailable, or already assigned to another phone.
  • The Create PIN button is unavailable:Check that the event has a valid end date and time and that you have permission to manage it.
  • The operator cannot choose another event:This is expected. A scanner PIN only grants access to its assigned event.
  • The venue may have poor internet:Synchronise the event while the phone has a reliable connection. The operator can then continue scanning during a temporary loss of connection.
  • A replacement phone is needed:Revoke the old assignment and create a new PIN for the replacement phone.
